From signing up to getting paid — how each part of the dashboard works, what it costs, and the rules behind the numbers. Roughly a ten-minute read.

Chapter 1

Set up your partner profile

About a minute, using the TravBuddy account you already have.

There is no separate partner login. You sign in with the same TravBuddy account you'd use as a traveller, and a partner profile gets attached to it.

  1. 1Pick what you listStays, group trips, experiences — tick everything that applies. This only decides which editors you see; you can change it later in Profile.
  2. 2Add your business detailsBusiness name, city and a WhatsApp number. The name becomes your public page address, so 'Nomad Trails' becomes travbuddy.in/p/nomad-trails.
  3. 3Upload a logo (optional)It shows on your public page and on every listing card. You can skip it now and add it any time from Profile.

Your contact number is how you reach a lead back

Travellers enquire from your listing, not on WhatsApp — the enquiry lands in your dashboard and your inbox with their name, number and dates. The number on your profile is the one you call them back from, so keep it current.

Chapter 2

The ₹499 plan

One subscription covers everything you list. Required before anything goes live.

TravBuddy charges one flat ₹499 a month, whatever you list and however many listings you have — stays, group trips and experiences are all covered by the same plan. On top of that we take 10% of the money we actually process for you. Nothing else.

You need an active plan to publish

You can build and save listings without one, but Publish is blocked until the plan is running. If the plan lapses your listings pause; they come straight back online when it restarts.

The plan is set up as autopay — a UPI Autopay mandate, a card, or your bank. You approve it once and the ₹499 is collected each month on its own, so nothing goes dark because a renewal was missed. Cancel from the Plan page whenever you like; your listings stay up until the month you've paid for runs out.

Chapter 3

Create your first listing

Drop in a PDF and let the AI do the typing, or start from a blank form.

From Listings, hit New listing and choose what you're adding. You then have three ways to start.

  1. 1Upload a PDF or brochureMost partners already have one. We read it and pull out the title, description, rates, room types, inclusions and FAQs.
  2. 2Paste your details as textPaste an itinerary or a rate sheet straight from WhatsApp or email. Same result, no file needed.
  3. 3Start from a blank formIf you'd rather type it yourself, everything is editable from the start.

Nothing the AI writes is final

Fields the AI filled are badged so you can spot them. It never invents facts — anything it couldn't find is simply left empty and shows up in your publish checklist. Nothing goes public until you press Publish.

Chapter 4

Get it ready to publish

The checklist that has to be green before travellers can see it.

Every listing carries a 'Before you publish' checklist in the editor. It's not advice — Publish stays blocked until each item is done, because a half-finished listing converts worse than no listing.

  • At least 3 photos — the first one is your cover and does most of the work
  • A real description, a couple of sentences minimum
  • At least one room type (stays) or a price (trips and experiences)
  • A price travellers can actually book at

You don't write the SEO

The search title and description under every listing are generated by TravBuddy and refreshed whenever you edit the listing. The editor shows them as a read-only preview. That's deliberate — it keeps every page on the site consistent for search engines.

Chapter 5

Pricing and peak dates

One base rate, plus seasons for the dates that are worth more.

Your base rate applies to every date by default. Seasonal pricing lets you charge differently on the dates that matter — Diwali week, New Year, the summer rush — without touching the base rate.

  1. 1Set a seasonPick the stay, give the season a name, a nightly price and a date range. Any night inside that range uses the season price.
  2. 2Copy it acrossIf you run several properties with the same calendar, use 'Copy seasons from' to clone the whole set into another stay.

Seasons can't overlap

Two seasons covering the same night would make the price ambiguous, so the system refuses the second one. Adjust the dates and save again.

Chapter 6

Advance payments

Take a deposit now, collect the rest yourself.

You decide how much a traveller pays up front to hold the booking. Set it per listing as a percentage or a fixed amount. The rest is the balance, and it is yours to collect directly — there is no pay-the-balance flow on TravBuddy.

The advance is never less than 20%

If your fixed deposit works out below a fifth of the booking, we raise it to 20%. A deposit too small to hurt doesn't stop no-shows, and you're the one holding the room.

Commission is only on what we handle

We take 10% of the advance we processed — never a paisa of the balance you collect from the guest on arrival.

Chapter 7

Discount codes

Run a sale, or give one person a private price.

Coupons are yours to set — we never mark your price up or discount it without you. A code can be a percentage or a flat amount, and you can cap the maximum discount, set a minimum spend, a usage limit and an expiry.

  • Leave it unscoped and it works across everything you list
  • Scope it to one listing and it only works there
  • Add a phone number and it becomes a private code only that traveller can use
  • Turn a code off at any time without deleting its history

The discount comes off the total

A discount reduces the booking total, and the advance is recalculated from the discounted figure. The balance absorbs the rest.

Chapter 8

Bookings

What landed, what you were paid, and what's still to collect.

Every online booking appears here the moment payment clears, with the traveller's name and a WhatsApp link. Each card tells you three numbers: what the traveller paid now, what you get after commission, and what's still to collect on arrival.

  • Awaiting payment — checkout was started but not finished. Nothing is held for them.
  • Paid — money cleared. This is a real booking.
  • Confirmed — an offline booking you added yourself.
  • Completed — the stay or trip has happened and the payout is releasable.

Don't forget the balance

If you take an advance, the booking card shows 'collect ₹X on arrival' in amber. That money never passes through TravBuddy, so nobody chases it but you.

Chapter 9

Guests

Everyone who booked with you, including the ones who didn't come through us.

The Guests tab is your whole guest list, not just TravBuddy bookings. Add walk-ins and phone bookings yourself, or import an existing sheet, so that one list is actually complete.

  1. 1Add guests by handPick the listing and the date, then add as many people as you like in one go. Name is all that's required; phone, email, price and date of birth are optional.
  2. 2Import a CSVBring across a spreadsheet you already keep. You'll see what was parsed before anything is saved.
  3. 3Export any timeYour guest list downloads as a CSV. It's your data.

Offline guests are free

A guest you added yourself carries no commission and no payout — you already collected the money. They're marked 'Offline' so your earnings figures stay honest.

Chapter 10

Reviews

Only real guests can review you, and you always get a reply.

A review can only be written by someone with a settled booking of that exact listing. That rule is enforced at the database, not just in the form, which is what 'Verified booking' on your page actually means.

  • You can reply to any review, publicly, once
  • You cannot edit or delete the review itself — that's what makes the good ones worth something
  • A reply is read as closely as the review, so answer a bad one properly rather than not at all

They're in Enquiries, not here — the person who asked left a phone number with it, and answering them is worth more than filing them under reviews.

Chapter 11

Enquiries

Every traveller who got in touch, on one screen.

When a traveller asks about a listing instead of booking it, it lands in Enquiries with their question, their number, their dates and how many of them are travelling. Call or WhatsApp them straight from the card — the sooner you reply, the more of them book.

  1. 1Read what they askedThe question sits at the top of the card, in their words. Most of the time it tells you exactly what's stopping them from booking.
  2. 2Reach themWhatsApp and Call are one tap each, and either one marks the enquiry contacted for you.
  3. 3Answer it publicly, if it's a good questionQuestions asked from a listing carry an answer box. Post the answer and it appears on the listing page — the next traveller wondering the same thing reads it instead of asking.
  4. 4Mark it Won or LostIt takes a second and it's what makes your conversion rate in Analytics mean anything.

Enquiries are never resold

An enquiry goes to you alone — never to a competitor, and never with the traveller's number hidden from you. Answering as many as you like costs nothing extra; the 10% applies only to bookings we process.

An unanswered question is invisible

A question stays hidden from travellers until you answer it, so an ignored one never sits on your listing making you look absent. It also never does any selling for you — the 'To answer' count at the top of the page is the one worth keeping at zero.

Chapter 12

Payments and payouts

When the money moves, and what's been taken out.

Money TravBuddy processed for you is released 48 hours after the stay or trip finishes. The hold covers cancellations and no-shows — it's the same reason every marketplace does it.

  • Held — the trip hasn't finished yet
  • Due — the trip is done and the payout is ready to go out
  • Paid — sent, with a UTR reference against it

The same page lists your ₹499 subscription charges, so the money coming in and the money going out are on one screen.

Chapter 13

Your public page

A brand page you can send anyone, that Google can find.

Every partner gets travbuddy.in/p/your-brand — your logo, your story and everything you have live, in one link you can put in an Instagram bio or a WhatsApp status.

  • Each listing also gets its own page that search engines index
  • Your listings are eligible to be recommended inside AI-planned itineraries
  • 'View public page' in the sidebar shows exactly what travellers see

Chapter 14

When something looks wrong

The handful of things partners ask about most.

  1. 1Publish is greyed outEither the checklist isn't finished or your plan isn't active. The editor names whichever it is.
  2. 2A discount code isn't applyingCheck it's still active, hasn't expired or hit its usage limit, that the booking clears the minimum spend, and — if it's scoped — that it's the right listing. Travellers now get told when a code doesn't apply.
  3. 3My listing went offline on its ownAlmost always a lapsed plan. Autopay retries for a few days before anything pauses; restarting the plan puts every listing straight back.
  4. 4A booking says 'Awaiting payment'The traveller opened checkout and didn't finish. Nothing is reserved and you owe them nothing.
